Label management service - instructions for a warehouse employee

Label Management Service (SML) is a warehouse management system that automates processes, replacing manual communications on social media. Warehouse staff record information about parcels by adding labels.

Labels are used for:

  • Parcels tracking;
  • Parcels identification;
  • Parcels sorting;
  • Parcels delivery.

note

Label - a postal label with information about the sender, recipient and, if necessary, customs data. Parcel - a label whose data has already been recognised. Label (in the system) - a saved image (photo, screenshot, etc.) from which data has not yet been recognised

The process looks like this:

  • The label image is uploaded;
  • The system recognises the data;
  • The parcel appears.

The ID Number is a personal user number in the NP Shopping system that each user receives after registering on the npshopping.com website. Example: NP000528816.This number is displayed in the My shopping addresses section. When placing an order in online stores, users add it to their order in the address or comment field.

There are two types of labels:

  • 1 With a user ID number on the label
    • If the label has an ID number (identifier), the user is identified by this number. The SML system automatically creates the object in the NPS
    • After the user is identified, the shipment is displayed in the shopping cart admin area
    • The order is transferred to the CRM system for further processing by the contact centre
    • An email notification is sent to the user.
info

Parcels in the storage area should be scanned twice a day for faster processing. You can also use the filter in SML to check the fact of registration

  • 2 No user ID number on the label or the label from the store is worn out.
info

Parcels without a user cannot go through the sms 2.0 process and cannot be sent to Ukraine - how to see the parcel in sms

Shipments that do not have an ID number or are not registered are moved to the conditional basket with the status Not registered.

  • Such items cannot be sent to Ukraine at this stage
  • They are placed in the dedicated Unregistered area
  • Then the parcels are sent to the technical warehouse for further processing.
info

Processing of unregistered shipments in SML.

All unregistered shipments are processed exclusively in the SML system until they are registered in Cargos.

  • During the rescan, you should check the status of the shipment.
  • A status of 1-0 or 1-2 indicates registration.
  • If the status remains ‘Not registered’, the shipment remains in the SML system for further processing.

General requirements for label images

  • The text on the label image (photo or screenshot) must be clear for correct data recognition.
  • The text with the basic information about the recipient (NP- or UA-number, first and last name) must be horizontal and read from left to right.
  • If the barcode / QR code with the tracking number is missing or damaged on the label and cannot be scanned or recognised, you should check the Label without tracking number box.
  • If a scanner is not available, but the tracking number on the label is clear and horizontal, you do not need to select the Label without tracking number checkbox.
